Who We Work With

Bookkeeping for Construction Companies, Subbies and Trades

At HKP, we support diverse industries with tailored bookkeeping and financial services. Our understanding of specific challenges allows us to provide
expert advice to help businesses thrive.

Builders

Progress claims, deposits and retention rarely line up with when your bills fall due. We keep the paperwork and the cash position visible, so you're never guessing

Subcontractors

Retention held on your invoices is money you've earned but can't see. We track every dollar withheld and when it falls due

Specialty Trades

Specialty Trades

Electrical, plumbing, carpentry, painting. Job volumes are high and margins are thin, so we track costs per job, not just per quarter

Principal Contractors

Principal Contractors

Multiple subbies, TPAR obligations and staged payments create compliance risk. We keep the records clean and the reports lodged on time

What We Do

Construction Bookkeeping Services We Offer

Every retainer is tailored to your business. Here’s what we can include, depending on your needs, job volume and how deep you want the reporting to go.

01

Job Costing and Project Profitability

Every invoice, timesheet and supplier bill coded to the job it belongs to. You see the actual margin on each project, not a blended number at quarter’s end.

02

Progress Claims, Retention and WIP Tracking

We track what you’ve claimed, what’s held in retention and what you’ve finished but not yet billed. Work in progress is real money, and we make sure it doesn’t get lost.

03

Subcontractor Payments and TPAR

Subbie invoices processed, payments scheduled, and your Taxable Payments Annual Report ready for the ATO’s 28 August deadline.

04

Payroll, Super and STP for Your Crew

Wages, allowances and super reported through Single Touch Payroll, backed by our payroll outsourcing service. With payday super in effect from 1 July 2026, contributions now reach your crew’s funds within 7 days of every pay run.

05

BAS Lodgement and GST Compliance

Your BAS prepared and lodged on time by a registered BAS agent, with GST on deposits, progress claims and retention treated correctly. Fewer surprises when the quarter closes.

Not Sure Which Jobs Are Making You Money?

Most trades businesses find out at tax time, months too late to fix anything. A 30-minute conversation will tell you whether your books can answer the question today.

Why Hopkan Partners

Bookkeeping That Tells You Which Jobs Make Money

The ATO’s small business benchmarks put total expenses for building and construction trades anywhere between 50% and 88% of turnover. That’s a wide band, and where you sit in it decides whether you’re building a business or just staying busy. Our job is to show you exactly where you sit, every month.

HKP

Management Accounting Depth

CPA-qualified, with 10+ years of financial and management accounting experience from ASX-listed companies and multinationals. The analysis big builders take for granted, sized for your business.

HKP

Plain-English Reporting

Monthly reports that tell you what changed, why it changed and what to do about it. No accounting jargon.

HKP

Fixed Monthly Fee

One agreed fee covering the work we've scoped. No hourly billing, and no surprise invoice when you call with a question.

HKP

Xero, MYOB and QuickBooks

Quick Answers to Your Concerns

Frequently Asked Questions

Construction bookkeeping is financial record keeping built around projects rather than the business as a whole. Every cost, from materials to subbie invoices, is coded to a specific job so you can see profit per project. It also covers construction-specific items like progress claims, retention and work in progress that general bookkeeping never touches.

Bookkeeping for construction companies is project-based, and no two jobs run the same. Income arrives in lumpy progress payments, retention holds back money you’ve already earned, and costs land across materials, labour and subbies at different times. Standard bookkeeping records all this as one blended pool. Construction bookkeeping keeps each job separate, so margins stay visible.

Job costing assigns every expense to the project it belongs to. Supplier bills, timesheets and subcontractor invoices are coded against a job number in Xero, MYOB or QuickBooks, then compared with what you quoted. The result is a live margin per job, which shows cost overruns while there’s still time to act, not after final payment.

Progress claims are recorded as invoices raised against each project stage, while retention is tracked separately as money earned but withheld, commonly 5% of the contract value. We record when each retention amount falls due and follow it up. Unbilled work sits as work in progress, so your reports show what you’ve done, not just what you’ve invoiced.

The Taxable Payments Annual Report (TPAR) is an ATO report of payments made to contractors, and most building and construction businesses that pay subcontractors must lodge it by 28 August each year. We keep contractor details and payment records clean through the year, so the report is ready to lodge rather than a scramble every August.

Payday super, which applies from 1 July 2026, requires super contributions to reach employees’ funds within 7 days of each payday instead of quarterly. For construction crews on weekly pay runs, that means super leaves your account every week. We build it into the payroll process so the timing looks after itself.

Construction bookkeeping runs on Xero, MYOB or QuickBooks, usually connected to a job management tool like simPRO, Tradify or ServiceM8 that feeds timesheets and job costs into the accounts. We work across all three accounting platforms, so you keep the software your team already knows rather than switching systems.

Construction bookkeeping with Hopkan Partners is a fixed monthly fee, agreed upfront based on your transaction volume, number of active jobs and how much reporting depth you want. There’s no hourly billing, so a phone call never turns into an invoice. You’ll know your exact bookkeeping cost for the year from day one.

Yes. Hopkan Partners is a Sydney bookkeeping firm, and we work remotely with construction businesses across Australia. Everything runs through cloud software, secure document sharing and video reviews, so it works the same whether your sites are in Western Sydney or interstate.

A construction business should consider outsourcing bookkeeping when the owner can’t say which jobs made money last quarter, when BAS or TPAR deadlines start slipping, or when admin eats hours that belong on site. If your books only tell you what you earned in total, not per project, that’s the signal.
